Batch Update Events (Google Add-In)

Batch update event colors and reminders in Google Calendar using the SchoolCal Add-In

Installation: Requires Google Workspace domain administrator privileges

Usage: Available to all users once installed for the domain

Overview

The SchoolCal Add-In lets users quickly update large groups of Google Calendar events at once.
By searching for an event title and selecting a date range, you can remove reminder notifications and/or apply a new event color—perfect for distinguishing school events, personal commitments, activities, and more.

How to Install the SchoolCal Add-In

  1. Log in to your Google Admin Console.
  2. Navigate to Apps → Google Workspace Marketplace Apps.
  3. Search for SchoolCal Add-In.
  4. Click Install. We recommend installing the app for the entire domain so users can choose to use it as needed.
  5. After installation, a domain admin must:
    1. Open Google Calendar in Chrome.
    2. Click the SchoolCal Add-In icon in the right-side panel.
    3. Grant permissions for the domain.

How To Batch Update Events

Upon first use, users will first need to authorize access to their calendars.

  1. Open Google Calendar in Chrome.
  2. Click the SchoolCal Add-In from the right-side panel.
  3. On first use, authorize the add-in to access your calendars.
  4. Enter the event title you want to update (e.g., “History”).
  5. Select the date range for events to be updated.
  6. Choose a new color (optional).
  7. Choose whether to remove default reminder notifications.
  8. Click Update Events.
  9. Review the confirmation message and click Confirm to apply changes.

Example: To change all “History” class events to yellow and remove reminders, search “History,” set your date range, select Yellow, enable Remove Reminder, and click Update Events.

Additional Info

  • If you change your mind, you can: click Undo Latest Update, or re-run the update by searching the same event title and selecting a different color or settings.

  • The add-in only updates events matching the exact event title within the specified date range.
