Customize Event Colors
Overview
SchoolCal lets you set per-user, per-class color overrides so each user's calendar events are visually organized in a way that works for them. For Google Calendar users, you can assign a specific color to each class. For Outlook users, you can assign Outlook categories instead (which carry their own colors).
Colors are set by admins on behalf of users — they show up automatically on synced calendar events without the user needing to do anything.
Prerequisite: User Event Preferences (School Setting)
Color customization is part of the User Event Preferences feature. Two settings control it:
- In the SchoolCal admin dashboard, go to Settings.
- Find the User Event Preferences panel (palette icon).
- Set the access mode to determine which users have the Preferences tab available:
- Off — Disabled for everyone. Color columns won't appear.
- Allow by Role — Available to Staff and/or Student roles.
- Allow Specific Users — Available to individually selected users.
- Below the access mode, find the Colorization Default toggle:
- On — Eligible users who haven't made an explicit choice will have colorization applied by default.
- Off — Colorization is opt-in per user.
- Click Save.
How to Get There
- In the SchoolCal admin dashboard, go to Users.
- Find and click the user you want to configure.
- Click the Preferences tab.
For Google Calendar users, the class table shows Default Color and Override Color columns. For Outlook users, it shows Default Category and Override Category columns.
Set a Color Override (Google Calendar)
- In the Override Color column, click the color swatch for a class.
- Select a color from the available Google Calendar colors.
- To remove an override and revert to the default, use the Clear option in the picker.
- Changes save automatically.
Assign Categories (Microsoft 365 / Outlook)
- In the Override Category column, click the category selector for a class.
- Choose one or more Outlook categories from the dropdown. Available categories are pulled from the user's Outlook account.
- Changes save automatically.
Notes
- Default Color / Default Category is assigned by SchoolCal based on the flow configuration. It can't be changed from the Preferences table.
- Override Color / Override Category takes precedence over the default when set.
- Color columns only appear for Google Calendar-connected users; category columns only appear for Outlook-connected users.
- Color availability is determined by Google Calendar's supported palette.
- Changes are per-user and do not affect other users.
