Pilot Mode
Test your calendar syncs before going school-wide
Pilot mode is available on all plans and pipelines
Note: While in Pilot Mode, SchoolCal will only create calendar events for classes that pilot users belong to, and only pilot users will be added as attendees for any event.
Overview
Pilot Mode lets you run a test sync to see how events will display on calendars before initiating a school-wide sync. For example, you can run a test sync to see how Class Schedules will display by sending them to a few faculty user accounts.
Using Pilot Mode
Note: while in pilot mode, SchoolCal will only create calendar events for classes those users belong to and only pilot users will be added as attendees for any event.
- Open the Flow you want to run a test sync on
- On the Flow's settings page, toggle Pilot Mode on (note: Pilot Mode is automatically enabled on new Flows)
- Add pilot users by entering the email addresses of users you want to sync to. Only pilot users will be considered for the sync, and only if they are not excluded by the filters. For example, if you include a student as a pilot user but exclude students as part of the filters, that student will not be synced for the Flow
- Press "Light Sync" to initiate the test sync. This will push your changes to users' calendars using the data already stored in SchoolCal (rather than pulling fresh data and then pushing)
Note: You will only be removed from Pilot Mode when you toggle Pilot Mode off and re-sync.
Disabling Pilot Mode
To disable Pilot Mode and send events to all intended users, open the flow and toggle pilot mode off. At this time, you'll likely also want to enable automatic syncing. This will do a full sync (fetch new data and push to calendars) at the time you designate on the settings page for your SchoolCal.
Special Notes
- Changes to the Flow's template or filters will not be immediately reflected in events until you either do a Light Sync or wait for the overnight sync (if you have that turned on)
- If you make a change in your Student Information System and want to see it reflected in your users' calendars, use the green "Sync Flow Now" button, which will pull the new data before pushing to users' calendars
