Set Up Rotation Days to a General Google or Outlook Calendar

Overview
Rotation Days → General Calendar flows publish your school’s rotation day schedule to one shared Google or Outlook calendar. This is useful when you want a school-wide or parent-facing calendar that shows A Days, B Days, cycle days, or similar rotation labels without adding events to each user’s personal calendar.

These flows create all-day rotation day events on the selected shared calendar. They do not invite students or teachers by default.

Before You Start
Make sure the following are in place:
• Your SIS connection is active and loading Rotation Days and Rotation Day Calendars.
• Your school has an active Google Calendar or Microsoft/Outlook connection in SchoolCal.
• The destination calendar already exists in Google Calendar or Outlook.
• SchoolCal has access to write to the selected destination calendar.
• The Rotation Days → General Calendar flow type is enabled for your school.

Supported SIS sources include Blackbaud, Veracross, PowerSchool, and iSAMS when rotation day data is available from the SIS.

Create the Flow
1. In SchoolCal, open Sync Manager.
2. Go to Flows.
3. Select Create Flow.
4. In Flow Type, choose the appropriate Rotation Days → General Calendar option.
• Choose the Google option for a shared Google Calendar.
• Choose the Outlook option for a shared Outlook calendar.
5. Enter a clear flow name, such as Rotation Days to Public Calendar or Upper School Rotation Calendar.
6. If more than one destination connection is available, select the correct Google or Microsoft connection.
7. Select the Calendar Owner.
8. Select the destination calendar from the calendar dropdown.
9. Create the flow.

Configure the Flow
After the flow is created, review the flow configuration before running a sync:
• Confirm the selected destination calendar is correct.
• Review any date range settings, if present.
• Review any rotation day filters, if present.
• Save changes.

Run and Verify
1. Run the flow or wait for the next scheduled sync.
2. Open the destination Google or Outlook calendar.
3. Confirm rotation days appear as all-day events on the expected dates.
4. Spot-check several dates against the SIS rotation calendar.

Expected Results
The destination calendar should show one all-day event per rotation day occurrence. Events are written to the shared calendar only. The flow should not create separate events for individual students or teachers, and it should not add attendees by default.

Troubleshooting
The flow type is missing: Confirm the Rotation Days → General Calendar pipeline is enabled for the school.
No calendars appear after selecting the owner: Confirm the calendar owner has access to the destination calendar and that the Google or Microsoft connection is active.
Events are not appearing: Confirm rotation day data has loaded from the SIS, then run the flow again.
Events are on the wrong calendar: Edit the flow configuration and confirm the selected Calendar Owner and destination calendar.
Some dates are missing or incorrect: Check the SIS rotation calendar data first, then refresh/load data in SchoolCal and rerun the flow.

Notes
Use Rotation Days → General Calendar when you want one shared calendar. Use Rotation Days → User Calendars when the rotation day events should appear on individual users’ personal calendars.
