Setting up the User Portal
Use Platform Manager to control who can use the User Portal and what they can do there.
There are two ways to give access:
• Rules - best for groups of users, such as all students, all faculty, a directory group, or an organizational unit.
• User Management - best for adding or removing access for one specific person.
User Portal access is based on abilities. You can give users one or more of these options:
• Sync Preferences - manage their own calendar sync settings.
• Request an Event - submit event requests.
• Reserve a Resource - reserve rooms, spaces, or other resources.
• Meeting Manager - manage recurring meetings.
Grant access with a rule
1. Go to Platform Manager > User Portal Access.
2. Select Add Rule.
3. Choose the source, such as SIS or directory.
4. Choose who the rule applies to, such as a record type, grade level, group, OU, domain, or user.
5. Select the User Portal abilities those users should have.
6. Select Save.
Use rules when access should update automatically as users move in or out of groups, grades, OUs, or SIS categories.
Grant or remove access for one user
1. Go to Platform Manager > User Management.
2. Search for the user.
3. Open the user’s access details.
4. Under User Portal access, check or uncheck the abilities they should have.
5. Select Save.
If access was granted by a rule, removing it from the individual user will not fully remove access. You’ll also need to update the rule that is granting it.
Customize what users can do
To customize a group, edit the rule in User Portal Access.
To customize one person, edit the user in User Management.
SchoolCal combines all access a user receives. For example, a rule might give someone Sync Preferences, while a direct user setting also gives them Request an Event.
Granularly control what classes sync for an individual user
Occasionally a teacher may be added to classes that they do not actually teach. If you have enabled user preferences on the Platform manager as described above, in Calendar Manager you may access the user via the Users tab to edit their class syncing. Click the user and click their preferences tab. There you may turn off syncing for individual classes. Keep in mind any schedule changes, of course, will not be reflected.
