Virtual Meet Links

Overview

SchoolCal can automatically attach a virtual meeting link to every calendar event it creates for a class schedule flow. Instead of teachers or admins manually sharing links for each class, SchoolCal adds the link directly to the synced calendar event — so students and teachers always have it one click away, right in their calendar.

This is configured at the flow level, not per-user. When enabled, all events produced by that flow include the meeting link.

Virtual meeting links are currently supported for Google class schedule flows only.

Prerequisites

  1. Virtual Meeting Provider Must Be Enabled for Your School

Before a flow can generate meeting links, a virtual meeting provider must be enabled for the school. This is configured by SchoolCal — it is not a setting school admins can change directly in the dashboard.

  • Currently the only supported provider is Google Meet.
  • Google Meet is only available when the school has a Google Calendar provider configured.
  • If no provider is enabled, the Templates panel will show: "No virtual meeting providers are enabled for this school" and the checkbox will be disabled.

Contact SchoolCal support to have Google Meet enabled for your school.

  1. The Flow Must Be a Google Class Schedule Flow

Virtual meeting links are only available on flows with these pipeline types:

  • Veracross → Google User Calendars (class schedules)
  • Blackbaud → Google User Calendars (class schedules)
  • PowerSchool → Google User Calendars (class schedules)
  • iSAMS → Google User Calendars (class schedules)

The setting does not appear on non-class-schedule flows, Outlook flows, or calendar list assignment flows.

How to Get There

  1. In the SchoolCal admin dashboard, go to Flows.
  2. Open the class schedule flow you want to configure.
  3. In the left sidebar, go to Configure → Templates.

Enable Virtual Meeting Links

In the Templates panel, scroll to the Virtual Meeting Links section:

  1. Check Add virtual meeting link.
  2. A Provider dropdown appears — select the provider (e.g., Google Meet).
  3. Click Save in the Templates panel.

To disable, uncheck the checkbox and save.

Notes

  • This setting is per-flow. Different flows can have different providers or have the feature turned off independently.
  • The meeting link is attached to events at sync time. Events synced before this setting was enabled won't include a link until they are resynced.
  • The link appears directly in the Google Calendar event, so teachers and students can join with one click.
